Eligibility for residential and catering services will be according to the priorities set by the Higher Education Policies or University rules.
- Undergraduate Male and Female disabled students and students with approved medical certificates
- Undergraduate Male and Female students non disabilities
- Postgraduate female and male students from within the available space
Allocation and use of dormitories and cafeteria
- For newly assigned students, dormitories and cafeterias are allocated prior to the arrival of students/based on the data obtained from Ministry of education.
- Room assignment will be renewed and guaranteed every academic year.
- There will be an attempt to mix students as far as possible to give them the opportunity of experiencing different cultures and approaches in the dormitory life.
- Where there are important student unions, peace forums and anti corruption delegate students are placed specially from other student.
Residence /dormitory/ management
- Residential proctors shall be selected from the students by the office of the associate dean of Student Services
- Building manager shall be assigned from the associate dean of Student Services Office
- Residential buildings shall provide a 24-hourservice
- Every residential building shall have one building master and two proctors
- As much as possible, all important formats and addresses will be available in each dormitory
- Adequate common space will be provided to encourage social interaction. These spaces should be appropriately equipped with sufficient furnishings, television, and furniture like chairs, benches etc…
- Smoking and drug abuse are strictly forbidden in and around dormitories
- Room changes are made only under exceptional circumstances and approved by the residence administrator(s)
- Residents are encouraged to contact the residence administration staff section for support and advice at any stage in appealing a disciplinary decision, fine, sanction, service delivery, or contractual concern
Television Services
- The assistant dean of Student Services shall arrange a 24-hour communal television service to each residential building
- TV services with multichannel are provided at no additional cost to the students
Keys
- Every student in a given room will have her/his own key
- Lost or stolen keys should be immediately reported to respective proctors of the building or the campus police
Lost & Found
- The University does not take responsibility for personal items that are abandoned, lost, misplaced, or stolen from within the housing communities.
- Students are advised to inform proctors or campus police when they lose or find any property.
Room Entry
- Authorized University personnel may enter a dormitory at any time
- Property can be seized and removed from a resident’s room if it constitutes an imminent danger or disruption to other residents or others, when the property is University-owned, when state law or University policy is being violated, or when the property is unauthorized
- There will be periodic checks into the conduct of occupancy of the halls. The students may or may not be notified about the coming inspection depending on the nature of the inspection
Mail services
The Director of Student Services, in consultation with the Ethiopian Postal Agency, shall make available postal services for students at the University through branch Post offices.
Room cleanliness
- Every student should dress in a neat and decent manner in rooms where s/he lives.
- Dormitory residents are expected to meet personal and public standards of hygiene. Moreover, they should all contribute towards keeping all dormitory property in good condition.
Visits by outsiders
- Visits from people other than fellow students or without the recognition of the associate dean of Student Services are not allowed.
- No visit shall be permitted after 11:00 local time (5:00 pm) in special cases if visitors are to be permitted, it must be before 5:00pm.
- Till the University facilities (particularly dormitory spaces) are arranged or improved no male shall enter to female students’ dormitory and vice-verse
Drug and Alcohol (ab) use
- Under no circumstances shall the Director of Students Service allow any alcoholic beverage and any type of drug abuse, distribution in any of its campuses, around dormitories and dining areas or in rooms. It is the responsibility and interest of the University to engage in the prevention and control of drug abuse, as well as in helping student with drug abuse problems.
Smoking, chewing in and around room
- The University shall maintain a smoke-free and addictive environment except for officially posted and designated smoking areas.
- This policy applies equally to all university staff, students, all third party workers and visitors of student dormitories and dining halls.
- Smoking and chewing are prohibited inside residence rooms, corridors, toilets, bathrooms, TV rooms, wash places and around dormitory and dining halls
Illegal occupation of rooms
Illegal occupation of a room whether or not the room is occupied is strictly forbidden.
Reporting of violation, damage or loss of property
Every on-campus student should report violation of contract terms by fellow students, and damage or loss of property incurred in the rooms or dormitory buildings
Activities
- Residential proctors shall organize different in-house activities and events in accordance with other residential and University laws
- Building managers shall organize inter-building activities and events
The University will prepare uniform daily food menu in all campuses
- Every student shall have a meal card which is renewed every semester.
- Meals shall be served at time shown on notice boards
- Student representatives shall have the right to ensure and control the quality and proper utilization of student meals
- Student meals shall be assessed to ensure quality assurance
- Menu should be revised in yearly bases
- Every student should dress in a neat and decent manner when entering to the dining hall
- No student is allowed to bring cooked meal to the dormitories except for medical reasons
- In an academic year, there shall be Christians and Muslims religious holiday occasions on special meals will be served.
- During public holidays, all dining halls shall be decorated by office of Student Services dean or catering office, or Student Union
- Get Clearance to leave campus at the end of each year and keep a copy of the document for them.
- Return every property when they withdraw due to illness, personal hardship, or good causes.
Sick serving dishes
Students who get sick and are unable to go to the cafeteria, a sick serving dish/ meals may be picked up by a roommate, after acquiring a sick form from the university’s health center.
Special Diets
Special diet for medical reasons may be served in consultation with the health center on the appropriateness of the service.
Meals requested for educational trips
- Only a single day meal will be prepared for daylong educational trips. If the trip lasts more than one day, the students have the right to receive the equivalence of their meal either in kind or in cash based on the calculation of daily meal allowances for each student
Cost sharing is considered as a government loan program for higher education students to cover partial cost of teaching and learning. It is applicable to students who have completed their studies or withdrawn from a public higher learning institution. The ratio of shares shall be as follows.
- Beneficiaries expected to bear 100% of their food and boarding expenses/costs and at least 15% of the total direct cost of education.
- Every beneficiary who takes 15 credit hours or more shall pay the full cost of his/her food and boarding expenses and 15% of the total tuition fee calculated for a regular student of his/her department.
- Every beneficiary who takes less than 15 credit hours and above 8 credit hours shall pay the full cost of his/her food and boarding expenses and ¾ of the 15% of the total tuition fee calculated for a regular student of his/her department.
- Every beneficiary who takes less than 9 credit hours and above 5 credit hours shall pay the full cost of his/her food and boarding expenses and ½ of the 15% of the total tuition fee calculated for a regular student of his/her department.
- Every beneficiary who takes less than 6 credit hours shall pay the full cost of his/her food and boarding expenses and ¼ of the 15% of the total tuition fee calculated for a regular student of his/her department.
- Communicate their concerns about safety or health to the university clinic immediately;
- Contact counseling service officers about any feelings or need for counseling regarding either academic or personal problems.
- Know that it is their responsibility to ask for assistance; however, the Counselor may refer a student at any time, if appropriate and necessary, to a higher service providing entity.
The purpose of this Students recreation and sport are to ensure that all students who are interested in participating in Extracurricular Activities and Sports are given a fair opportunity to do so. This are largely aimed at:
- developing useful new capabilities in students that can lead to extension of career opportunities;
- developing student initiatives and provide them with chances for exercising responsibility;
- advancing students’ leadership capabilities and good organizational skills;
- enhancing the social skills of the students through interpersonal skills;
- enabling students to explore a wider range of individual interests that might be available in the regular program;
- Cultivating group interaction and leadership among students.
Student extracurricular activities are an integral part of University life and are used as a means of developing wholesome attitudes and good human relations as well as knowledge and skills. University of Gondar encourages the participation of students in Extracurricular Activities and Sports. It is believed that the educational goals and objectives of the University are best achieved by a diversity of learning experiences, some of which are more appropriately conducted outside the regular classroom programs. The University makes Extracurricular Activities and Sports available as an extension of the regular academic program and with this important difference: participation in the regular curriculum is a right offered to each student, while participation in the Extracurricular Activities and Sports program is a privilege that carries additional expectations for acceptable conduct.
- Student participation in extracurricular activities and sports would be on the basis of voluntarism;
- All students are encouraged to participate in extracurricular activities and sports (male, female and disability);
- Access to extracurricular activities and sports shall be fair and equitable for all students in all campuses;
- Extracurricular activities and sports shall create a common ground for cultural values and social environment whereby diversity is respected and celebrated;
- Extracurricular activities and sports shall oppose any discrimination on the grounds of gender, ethnic, religious or political outlook etc.;
- Extracurricular activities and Sports shall create opportunities for the participation of disabled students in all campuses.
- Students Clubs and Socialization
To acquaint students with campus life continuously and update them on issues that are relevant until they fully experience campus life example:-
- Address issues related with students with disabilities, foreign students, female students and students who need affirmative action.
- Acquaint students with extra-curricular activities that are currently available
- Charity Clubs
- Student Union
- Outdoor and Indoor activities on each campuses
- Sports activities that held annually intra public universities
- The university launches free Legal services
- Introduce the Bill of Rights and Code of conduct
- Provide examples of habitual mal-practices that contradict the rules and regulations of the university and how they should behave in the university
- Organize and conduct campus tour by clustering students in manageable groups.
- Information on alternative catering and entertainment places and institutions that would help them in their day-to-day activities.
- Familiarize students with the various places that exist around the university such as market places, religious institutions, theater, Cinema, etc.
- Recognition of Clubs in extracurricular activities
To participate in extracurricular activities students shall organize and form clubs based on their interest with a minimum of five students as members. All the recognition processes of a club and the University’s facility utilization by the students are based on the University’s Legislation.
2. Participation in Sports and Recreational Activities
All students have the right to participate in different sports and recreational activities during their spare time. The University will provide, facilitate, establish and maintain recreational and sports arenas in all campuses fairly and equitably.
3. Assignment of Coordinators for Sport and Recreational Activities
The Campus associate Dean of Students, in consultation with the dean director of the students service, will assign one sport and recreational Coordinator in each campuses of the University to lead and organize different sports and recreational activities.
4. Sports Competitions
Once a year, in every campus and among campuses of the University, University sponsored intramural and intercampus sports competitions will be organized for regular undergraduate students (for both sexes and disabled students) respectively. However, the types of sports are determined by the agreement to be reached among the Dean of Students, the sport and recreational Coordinator, and the Student Union. Moreover, the University will participate in Government’s Higher Education Sports Festival based on the calendar of the sports association.
5. Event Organization
Any recognized club or student organization has the right to organize educational or recreational events, panel discussions, workshops, exhibitions, debates etc.
